Adding a Task

This guide walks you through the steps and options available to you while accessing the task tool.

Accessing the Task Feature

Website Version

  1. Hover over the plus (+) button on the left sidebar

  2. Click Task from the list of options.

Mobile App

  1. Tap the plus (+) button on the right low corner.

  2. Select Task from the options.

Choosing the Task Type

When you start creating a task, you’ll be prompted to choose between two types:

  • Manual Task: Create a task from scratch.

  • Template Task: Use a predefined template.

Filling in Task Details

Once you choose the type, you’ll be prompted to provide the following information:

  • Task Name: Give your task a clear, concise title.

  • Task Description: Add context or detailed instructions.

  • Due Date: Set when the task should be completed.

  • Project: Link the task to an existing project (optional).

  • Contact: Attach it to a specific contact if relevant (optional).

  • Assignee: Assign the task to a team member.

    • By default, the assignee will be the person creating the task. You can change this by selecting a different user from the dropdown menu.

Where the Task Appears

After saving, the task will:

  • Appear in the Tasks section on the left side sidebar

  • Be visible under any associated projects you've linked it to.

Quick Add from Within a Project

You can also add a task directly from within a project:

  1. Open the Project.

  2. Select the Task tab

  3. Click New Task from within the project interface.

When you do this:

  • The Project field is auto-filled with the current project.

  • The Due Date defaults to today.

  • The Assignee defaults to the user creating the task.

Note: When creating a task within a project, an option will appear: Lock Project Until Completed; if selected, the project cannot be manually moved to a different stage by other users, only Admins can override this restriction and move the project. Additionally, the Move project step within a campaign will also override this lock, meaning that a project will still move automatically regardless of whether it is locked by a task.

Quick Add from Within a Project’s Activity Feed

You can also add a task directly from within a project’s activity feed:

  1. Open the Project.

  2. Activity Feed is automatically shown.

  3. Click + to add a note and be sure to @ the user you want to send a task. If you @ more than one user, only the first will receive the task.

Task Assignment and Due Date Notifications

You can enable notifications to receive alerts whenever a task is assigned to you or when it's due.

Flexibility in Association

Tasks in ProLine are highly flexible:

  • Associate them with both a project and a contact.

  • Associate them with just one (either project or contact).

  • Or create standalone tasks linked only to the assignee.
