Company Settings: Contacts - Contact Tags

This guide will walk you through what contact tags are, how to create and manage them, and best practices for their use.

What Are Contact Tags?

Contact tags are identifiers that you can assign to individual contacts. They allow you to:

  • Segment contact lists.

  • Analyze user behavior and traits.

Note: Avoid using contact tags for lead sources, as lead sources are managed separately in the system. To learn more, see Company Settings: Contacts - Lead Sources.

Examples of Common Tags

The platform includes several predefined tags out of the box, such as:

  • Discount-related tags

  • Blacklist tags

    • This does not stop automations the way that project tags do, but often blacklist is used on both the contact and project level. Ensure you double check these are assigned at both during automation set up to ensure we are consistent.

However, you can create and use any tags that suit your needs. Common custom tags include:

  • First Responders

  • Retirees

  • Veterans

  • Friends

  • Family

  • Big Spender

  • Married

Tags can reflect any characteristic or group relevant to your business.

Accessing the Contacts Tab

  1. Click the hamburger menu (☰) in the top left corner of your ProLine account.

  2. Scroll down and select "Company Settings"

  3. A new window will appear in your browser

  4. Click the "Contacts" tab.

  5. You will find the contact tags section at the bottom of the page.

Creating Tags

Creating a new tag is simple:

  1. In the Contact Tags section, click on Add Tag.

  2. Type your desired tag name.

  3. Click Save to create the tag.

Once created, the tag will be available to assign to any contact within your database.

Assigning Tags

Assign tags to contacts manually, when creating a new contact, or through a workflow.

  • Manually:

    • Go to any project on the projects page and click to expand the options

    • You will see the contact name directly under the project name and to the right of it you will click on the contact card.

    • That will open a window to the right of your screen.

      • Scroll to the middle where you will see Tags.

      • Click the add button next to Tags.

      • Click into the pop up that opens for you and choose from the tags listed.

  • When creating a new contact:

    • The Tags field is also available directly on the New Contact form, so you can assign tags at the moment the contact is created. See Adding a Contact for the full walkthrough.

  • Workflow:

    • You can assign a tag to a contact through a workflow step, which needs to be included in the workflow sequence. For a full breakdown of how to set a workflow step to auto-add contact tags, see the full article and video here.

Using Tags

After tags are assigned to contacts:

Use filters to segment your contact list based on tags within the Contacts tab within the Data Manager page.

Final Tips

  • Tags are fully customizable. Use them however you see fit.

  • They help organize contacts and tailor communications.

  • Don’t overcomplicate and choose labels that make sense for your team.
