Accessing Manage Team
Click the hamburger menu (☰) in the top-left corner.
Select Manage Team from the menu.
You will land on the Team Members tab by default.
Adding a New Team Member
To add a new team member, click the + Add Member button. A form will expand with the following fields to fill out before clicking Add:
Location — Select the primary location for this team member. This determines which location their projects are associated with and how location-based automations and routing are applied.
First Name / Last Name — The team member's display name throughout ProLine.
Email — The email address the team member will use to log in to ProLine.
Mobile Phone — The phone number of the device they'll be using the ProLine mobile app on. This is usually their personal cell number and is used for the call forwarding system.
User Type — Select Regular or Limited depending on the team member's role. The form will display whether a seat will be used based on your selection.
Regular users will use one of your plan's available seats.
Limited users are always free and do not require a seat.(See the User Type section below for a full explanation.)
Permissions — Select Admin or Restricted. If Restricted is selected, a dropdown will appear prompting you to select a Permission Profile. (See the Permissions section below for a full explanation.)
Once all required fields are filled in, click Add to create the team member. ProLine will send them an invitation email with instructions to set up their account, including selecting their ProLine number.
💡 New team members added during your first month with ProLine are not charged for that month. Starting your second month, billing for seats added or removed mid-month will be prorated.
Configuring a Team Member's Settings
After a team member has been added, you can update or expand their settings at any time by clicking their name in the team list to expand their profile. The sections below describe each setting available in the profile.
Account Info
This section displays the basic information entered during setup. You can update any of these fields at any time.
First Name / Last Name — Can be updated here if the team member's name changes or was entered incorrectly.
Email — Can be updated here if the team member's login email needs to change. This is also the address ProLine will use for communications unless overridden in Other Settings.
Mobile Phone — Can be updated here if the team member changes their personal device.
Password — Admins can trigger a password reset at any time by clicking Send Reset Email, which sends a reset link to the team member's email.
Team Member Color
Assign a color to this team member. Their color will be used to identify them on calendars, project assignments, and other visual displays throughout ProLine.
Primary Location
The primary location was selected during the Add step but can be updated here at any time. This determines which location the team member's projects are associated with and how location-based automations and routing are applied.
💡 When projects are created through web forms, the project location is assigned based on the assignee's primary location — not the property address submitted on the form. For multi-location accounts, make sure assignees on forms are correctly configured per location.
User Type
The user type was selected during the Add step but can be changed here at any time by clicking Change. User Type controls whether this team member occupies a paid seat and has access to a ProLine number and email/calendar connection.
Regular — This user type has a ProLine number and Email/Calendar connection. They can be assigned to Projects and Events. Automated workflows can send communication as them, and they can also communicate with customers via email, phone call, and text message. This user type requires a paid seat.
Limited — This user type does not have a ProLine number or Email/Calendar connection. They cannot be assigned to Projects and Events. Automated workflows cannot send communication as them. They are also unable to communicate directly with customers via email, phone call, or text message. This user type does not require a paid seat. However, depending on the permissions set on their profile, Limited users can still access ProLine and make adjustments on projects as needed — so while their communication capabilities are restricted, they can still contribute meaningfully to the team.
💡 Not sure which type fits your team? Regular users are typically customer-facing roles like sales reps or project managers. Limited users are typically internal roles like accounting or admin staff. For a full breakdown, see Manage Team: User Types.
Permissions
The permission level was selected during the Add step but can be updated here at any time. Permissions control what this team member can see and do within ProLine.
Admin — Admins have full control of the ProLine account. They can make changes to anything except removing the owner.
Restricted — Restricted users have a Permission Profile assigned, which allows more granular control of which parts of the application they can access. When Restricted is selected, you will be prompted to choose a Permission Profile from the dropdown.
Disabled — Disabled users are automatically logged out of their account and can no longer access ProLine. Use this to quickly cut access to a user without releasing their ProLine number or otherwise disrupting your account.

Commission
Assign a commission profile to this team member. The commission will be automatically applied to budgets on their projects. Default commissions are set at the team member level but can be adjusted on a quote-by-quote basis.

New Contact Lead Source Assignment (Optional)
If this team member receives a call from a new number, ProLine will automatically assign the selected lead source when creating the contact. Leave this set to No Lead Source if you do not want a lead source automatically applied.
Rep Specific Financing Link
If filled in, this link will override the default financing link in the quote and use this team member's specific link instead. Leave blank to use the company-wide financing link.
Other Settings
Disable Automated Texts & Emails — Select this to stop automated texts and emails from being sent to contacts assigned to this team member. All manual texting, calling, and email functionality will still work.
Forward Calls to Team Member — Select this to forward calls received on this team member's ProLine number to the device or number associated with a different team member. This is useful when a team member is on vacation or unable to reply to calls.
Send Emails via Team Member — Select this to cause emails sent through ProLine by this team member (both manual and automated) to be sent via a different team member's email integration. Useful when a team member doesn't have their own work email or shares one with another team member.
Show in Leaderboard — Select this to include this team member on the sales leaderboard.
Saving
Once you have configured all settings, click Save at the bottom of the team member's profile. Click Cancel to discard any unsaved changes.
