Workflows: Step - "Zapier Trigger"

This guide shows you how to add and configure a Zapier Trigger step in a Workflow in your ProLine account.

Overview

The Zapier Trigger step allows you to connect ProLine to thousands of third-party applications through Zapier. When this step occurs, a linked Zap in Zapier will be triggered, sending contact and project information to your connected app. To use this feature, you will need a Zapier account and a basic understanding of how Zapier works.


How to Access the Workflow Builder

  1. Click the hamburger menu (☰) in the top-left corner of your ProLine account.

  2. Click Workflows.

  3. Click the Workflows tab.

  4. From here you can either click the pencil icon on an existing workflow to open it, or click Create Workflow to create a new one. Both will open the Workflow Builder.


Adding a Zapier Trigger Step

In the Workflow Builder, hover over any of the downward arrows between steps and click Add Step when it appears. If you are setting up a new workflow, click the Add Your First Step button in the center of the builder.

An Add Step panel will open with a search bar and a list of step types organized by category: Communication, Tasks & Projects, Workflow Control, and Integrations. Select Zapier Trigger under the Integrations section.

This will open the Edit Step panel on the right side of the screen.


Configuring the Step

Step Status

Use the toggle at the top to set the step as Active or Inactive. Inactive steps are skipped automatically when the workflow runs but remain in the workflow for future use.

When Does This Run?

Controls when the step executes after the workflow reaches it. The available options are: Starts Immediately, Starts at Optimal Time, Starts at Specific Time, Starts X Hours Before, and Restrict To. For a full explanation of each option, see Workflows: Workflow Steps Overview.

Conditional Logic

Check Only run this step if certain conditions are met to make this step run only when specific criteria are matched. If the conditions are not met, ProLine skips the step and moves to the next one automatically. For more details on how conditional logic works, see Workflows: Workflow Steps Overview.


Zapier Configuration

When this step occurs, the linked Zap in Zapier will be triggered. All details about the contact will be sent, along with the content from the field below.

Select Contact

(Required) Choose which contact this step is associated with. The available options are:

  • Project's Main Contact

  • Project Contact 1

  • Project Contact 2

Zapier Content (Optional)

Enter any additional content to be sent to Zapier along with the contact details. You can use variables to dynamically fill in information specific to each contact or project:

  • Click Show Variables to browse available variables.

  • Select a variable to copy it, then paste it into your Zapier content.

  • You can also type { directly in the field to open a dropdown of available variables.


Setting Up Your Zap in Zapier

Once you have configured and saved the step in ProLine, you will need to set up the corresponding Zap in Zapier to complete the connection.

  1. Log into Zapier — Log into your Zapier account. If you don't have an account, create one at zapier.com.

  2. Create a New Zap — Click Create and select Zaps.

  3. Select ProLine as the Trigger App — Search for and select ProLine from the list of available apps.

  4. Choose the Trigger Event — Select Zapier Trigger Step Occurs as the trigger event. This event is specifically designed to give you flexibility to trigger a Zap at any point in a workflow.

  5. Select Your ProLine Account — Connect and select the ProLine account associated with your workflow.

  6. Select the Workflow Trigger Step — From the dropdown, you will see a list of all Zapier Trigger steps configured across your workflows. Each entry displays the folder name, workflow name, and step name, making it easy to identify the right one. For example, you may see an entry like "SPEED-TO-LEAD | WEBSITE STL | Step 2". Select the specific step you want this Zap to respond to.

  7. Configure your action — Set up the action you want Zapier to perform when the step is triggered, such as sending data to another app.


Practical Use Cases

  • Lead Management — Integrate with lead management tools to automate lead capturing and nurturing directly from your workflows.

  • Extended Communication — Use Zapier to connect with additional services such as voicemail drops or direct mail, extending communication options beyond ProLine's native capabilities.

  • Custom Automation — Trigger actions in other applications based on ProLine workflow events, such as sending a Slack notification when a new lead is added or updating a spreadsheet when a project moves to a new stage.


Saving

Once you have configured your step, click Save.
