Campaigns: Files & Links

ProLine allows you to attach files or add links to the automated emails and text messages sent through your campaigns. You can also attach files that are unique to the project assignee, helping you personalize your communications.

Sending files and content in automated messages within ProLine can enhance your appointment reminders, confirmations, and other communications. This guide will walk you through the steps and best practices for attaching files and including dynamic content in your emails and text messages.

How to Attach Files to Automated Messages

1. Open Your Campaign

  1. From your ProLine Home Screen, click the hamburger menu (☰) (top-left).

  2. Select Campaigns.

  3. Open the Job Updates folder.

  4. Select Appointment Reminders.

  5. Click Edit Campaign to open the email and text message templates.

2. Attach Files to Campaign Emails

File Size Limit for Emails

  • You can upload files up to 12 MB.

  • Good for: PDFs, images, small documents.

  • Not recommended: videos (usually too large).

How to Attach a File

  1. Inside the campaign email, click Attach File.

  2. Your File Explorer opens.

  3. Select a file that is under 12 MB.

  4. Click Open.

  5. Click Save.

This creates a static attachment, meaning every client receives the same file every time the email is sent.

3. Attach an Assignee‑Unique File (Email)

If you want the file to depend on which user is assigned to the project, use the Assignee Unique File option.

How to Enable It

  1. In the email editor, click Attach Assignee Unique File.

  2. Click Save.

Where the Unique File Comes From

  1. Go to Account Settings.

  2. Open a user profile.

  3. Find the Unique File section.

  4. Upload the file you want for that specific user.

  5. Click Save.

Once this is set up, whenever the campaign runs, ProLine sends that assignee’s file, but only if they are assigned to the project.

4. Attach Files to Campaign Text Messages

File Size Limit for Texts

  • Text message attachments must be 5 MB or smaller.

  • Best options: images or very small documents.

How to Attach a File to a Text Campaign

  1. Open the text version of your Appointment Reminder.

  2. Click Add Image/File.

  3. Select the file.

  4. Click Save.

Attach an Assignee‑Unique File (Text)

You can also select Attach Assignee Unique File, and ProLine will use the same unique file uploaded in the user’s profile.

5. Add Links to Emails and Texts

Because of size limits, videos often can’t be attached directly. Instead, you can link to them.

Add a URL in an Email

  1. Copy the link you want to use (for example, a YouTube video).

  2. Paste it directly into the email body.

  3. Click Save.

Link a Word (Emails Only)

  1. Highlight a word (example: Project).

  2. Click Link.

  3. Paste the URL.

  4. Press Enter.

  5. Click Save.

Add a URL in a Text Message

Text messages cannot hyperlink words, but you may paste the URL directly into the message body.

6. Add Unique Text or Unique Links per Assignee

If each assignee should send their own custom message or link, you can use the Unique Text field in Account Settings.

Add Unique Text for Each User

  1. Go to Account Settings.

  2. Open a user profile.

  3. Find Unique Text.

  4. Paste the assignee‑specific message or URL.

  5. Click Save.

Insert the Variable into Your Campaign

ProLine does not insert this automatically. You must add the variable yourself.

  1. Open the email or text body.

  2. Click Show Variables.

  3. Copy the variable User Text.

  4. Paste it where you want the custom text to appear.

  5. Click Save.

When the campaign runs, ProLine replaces this variable with the unique text of the user assigned to the project.
