Purpose of the Contractor Hub
The Contractor Hub links projects to specific contractors; especially those using or adopting ProLine accounts. Connected contractors can receive work orders, manage their own projects (even with free accounts), and collaborate more efficiently.
While you can still add contractors manually, but linking to an active ProLine account enables:
Syncing between a folder within the project for both companies to view.
Visibility into connected orders
Smoother collaboration with contractors
Accessing the Contractor Hub
Click the hamburger menu (☰) in the top-left corner.
Scroll down and select Contractor Hub.
A new window will open
From here you’ll see two main sections:
Connections
Orders
Connections Tab
The Connections tab is where you manage all your contractor relationships. You can either connect to an existing ProLine company or manually record contractor information.
Adding a Contractor
There are two ways to add contractors:
Send Connection Request
Enter the contractor’s email address to invite them.
If they already use ProLine, they can link their existing account.
If not, they can create a free ProLine account, which gives them limited access (pipelines, stages, file uploads, etc.).
Once linked, both parties can share project files and view orders.
Add Manual Record
Used for contractors that don't want ****ProLine accounts.
Once you’ve added a contractor, either by sending a connection request or adding a manual record, you can easily identify their connection status within the Contractor Hub.
Connected Contractors:
If the contractor also uses ProLine and has accepted your connection request, you’ll see the word “Connected” displayed in green to the right of their name.
This means you are linked directly to their ProLine account.
You can send projects or orders directly to them.
Files and documents related to shared projects will automatically sync between both accounts.
Manual Records:
If the contractor is not using ProLine and you’ve created a record manually, you’ll see “Manual Record” displayed in green.
This indicates the contractor is not linked through ProLine.
You can still store documents, licenses, and notes, but no syncing or shared project functionality will occur.
This distinction makes it easy to see at a glance which contractors are fully connected within ProLine and which are simply being tracked manually.
Contractor Profile View
Each connected contractor record contains three sub-tabs:
Files
Store files for the contractor, such as insurance, licensing, or payment agreements.
Expiring files trigger a 15-day notification before renewal is due.
You can maintain compliance by keeping all documentation centralized and up to date.
Private Notes
Notes visible only to your company.
Use this section for internal insights, for example:
“Excellent with metal roofing, less consistent with shingle installs.”
A great way to track performance, preferences, or reminders about contractor relationships.
Orders
Displays all orders associated with that contractor.
Orders automatically appear here when the contractor is linked to an order in a project.
Orders Tab (Global Overview)
The Orders tab provides a consolidated list of all contractor-related orders across your company.
Orders are displayed chronologically.
Each entry shows the project name and order details.
You can click directly into an order for quick access to related files or linked contractors.
Linking Contractors to Orders
To link an order to a contractor, it is important to remember that this can only be done within the project itself - not the contractor hub as that is a view only option on orders. To do this:
Open the desired project.
Go to the Orders tab and click Add Order (or open an existing one).
Choose the quote you’re referencing and select Order template → click Create.
In the Order Terms section (bottom of the order editor), find Linked Contractor Company.
Choose your contractor from the drop-down list.
Save and send the order.
Once sent:
The order appears in both your Contractor Hub and the contractor’s ProLine account (if linked).
The contractor can import it as a project into their account.
Only order-specific data is shared — protecting your company’s internal details.
Sister Projects & File Syncing
When an order is sent to a linked contractor, the contractor will be given an option to create a new project for their account or link to a current project in theirProLine account.
Here’s how it works:
The linked project creates a shared folder between both accounts under the files tab of that project.
Contractors can upload photos, documents, and updates to this shared folder.
Files are copied (not mirrored); meaning:
If one side deletes a file, the other still retains it.
Both parties have permanent copies of all uploads.
The subcontractor can also treat the project like a regular ProLine project, creating quotes, tracking progress, or managing billing as needed.
Future Development and Feedback
The Contractor Hub is still in the early stages; its current purpose is to establish a foundation for deeper contractor connectivity within ProLine.
Our long-term goal is to:
Improve file sharing and order tracking.
Expand reporting visibility (ex: showing which contractors completed which work orders).
Make it easier for contractors to manage their work entirely through ProLine.
We’re actively seeking user feedback to shape its future development.
