Data Manager – Activities: Import CSV

Overview

The Data Manager – Activities Import feature in ProLine allows you to bulk import activity data into your ProLine account. This is especially helpful when migrating data from another CRM or when you need to upload a large set of activity records (calls, texts, emails, voicemails, etc.) all at once.

You can associate imported activities with either Contacts or Projects, but each imported row must reference at least one of these to connect the data correctly.


Accessing the Data Manager

To start importing activities:

  1. Open your ProLine account.

  2. Click the hamburger menu (☰) in the top-left corner.

  3. Scroll down and select Data Manager.

  4. Once the Data Manager opens, click the Activities tab at the top.

This will take you to the main Activities Data Manager page.

Importing Activity Data

Inside the Activities tab, you’ll see an Import CSV button at the top-right of the page.

Step 1: Start a New Import

  1. Click Import CSV.

  2. Then click New Import to begin uploading your file.

Step 2: Choose Your Import Method

You have two options for importing data:

Option 1 – Upload a File

  • Drag and drop your file into the upload area, or

  • Click to browse and select it from your computer.

  • Accepted file types: .XLS, .XLSX, or .CSV only.

Option 2 – Copy & Paste Table Data

  • Click the blue “Click here to copy/paste table data” link.

  • Select your delimiter, which defines how your data is separated.
    Available delimiters include:

    • Comma (,)

    • Tab

    • Semicolon (;)

    • Pipe (|)

    • Space

    • Colon (:)

    • Equal sign (=)

    • Or choose Custom Delimiter if your data uses a different separator.

Step 3: Review the Sample CSV

Before uploading your own file, it’s highly recommended to view the Sample Activity CSV.

To do so, click “View Sample Activity CSV” on the import page. This will show you the expected column structure and formatting for your data.

Sample Activity CSV – Column Details

Here’s what each column in the sample file represents:

Column Name

Description

Activity Type

Type of activity (e.g., Call, Text, Email, Voicemail).

Subject

The subject line of the activity (used primarily for emails).

Body

The message content — for texts, emails, or notes.

Voicemail

If applicable, link or file reference for the voicemail recording.

Duration

Length of the voicemail or call (in minutes).

Notes

Any internal notes tied to the activity.

User

The name or ID of the user associated with this activity upload.

Date

The date the activity occurred.

Time

The time the activity occurred.

Contact ID

The internal ProLine Contact ID the activity is linked to.

Contact External ID

External ID from another system (if applicable).

Project ID

The internal ProLine Project ID the activity is linked to.

Project External ID

External Project ID from another system (if applicable).


Important Notes

  • You must include either a Contact ID or a Project ID for each record so ProLine knows which record to attach the activity to.

  • You can use either internal ProLine IDs or external IDs if your system is mapped to those.

  • Activities missing both Contact and Project references will not import.

  • Make sure dates and times are formatted consistently (ex: MM/DD/YYYY HH:MM).

  • Large imports may take several minutes to process — you’ll see confirmation when the import is complete.


Summary

Using the Data Manager → Activities → Import CSV feature, you can quickly bring in call records, text history, emails, and notes from other systems into ProLine.
As long as each record has a valid Contact or Project ID, the import tool allows you to upload and organize historical data efficiently — saving hours of manual entry.
