Company Settings: Quote Templates - Pricing & Margin

This article covers the Pricing & Margin section of Quote Template Settings. These settings apply to all quotes created with this template.

Accessing Pricing & Margin Settings

  1. Click the hamburger menu (☰) → Company Settings (this opens a new browser tab).

  2. Select Quote Templates from the left menu.

  3. Click the pencil icon ✏️ on the template you want to edit.
    📱 App users: Tap Edit on the "You are in view mode" banner, then tap the blue View all settings button to access the template settings.

  4. Select the Settings tab at the top of the template editor.

  5. Scroll down to the Pricing & Margin section.

💡Each setting is collapsed by default. Click on any section to expand it and configure its options.


Profit Margin

The default profit margin (%) for all quotes created with this template. Setting this ensures every quote automatically applies your desired margin rate.

Allowed Margin Range for Restricted Users

You can set a minimum and maximum margin percentage that restricted users must stay within. This is ignored if the user's permission profile has Override Margin Min/Max enabled. See the permission settings here.

  • Admins and Owners always have full control over margin settings, regardless of template constraints.

Build card fee (3.2%) into profit margin

This option builds the card processing fee into the profit margin. Its functionality depends on your Card Fee Handling setting in Company Settings → Billing:

  • If you are passing card fees to customers: Enabling this checkbox builds the fee into the margin set in the quote and automatically adds a Cash Discount (Offsets Card Fee in Margin) of 3.2% off to the Discounts section — no need to add it manually. This lets customers know they will pay less if they choose to pay by cash or check, since card processing fees won't apply to their payment.

  • If you are absorbing card fees: The Cash Discount feature is not available. You can still enable this option to build the 3.2% card fee into the quote's margin, increasing the overall quote price by that amount. As a result, if the customer pays by cash or check, the roofer keeps that extra 3.2% as additional profit — since no card processing fee is deducted from the payment.

Deposit

The default deposit (%) for quotes created with this template. You can also set a maximum dollar cap on the deposit amount.

For example, due to state regulations, you may want to collect a 40% deposit but cap it at $7,500. ProLine allows this flexibility, so you can stay compliant with local rules while streamlining billing.

Note: The deposit amount set here will always appear on the quote's signature page. However, it is important to make sure a deposit amount is entered if you plan to use deposit invoices — either automatically or manually:

  • If Auto-Send Deposit Invoice is enabled on the quote template, a deposit invoice will only be sent automatically after signing if a deposit amount greater than 0 is set. If no deposit amount is configured, the invoice will not be sent. Details about this setting here.

  • If you plan to create a deposit invoice manually, and your Invoice Template is configured to use the deposit amount, the same applies — a $0 deposit amount will result in a $0 invoice. Details about this setting here.


Rounding

Configures whether or not ProLine rounds up option and upgrade subtotals. This helps make quotes cleaner and easier for customers to read.

Rounding options:

  • Exact Amounts (Don't Round)

  • Round up to Nearest Whole Number

  • Round up to Nearest 10

  • Round up to Nearest 100

You can also check Hide Cents From Totals When Possible (.00) to display cleaner totals — for example, $150 instead of $150.00.


Discounts

The default discounts for quotes created with this template. If you consistently offer specific discounts — such as seasonal promotions, military/veteran discounts, or storm relief — you can preload them directly into the template so they're never overlooked.

To add a discount:

  1. Click + Add Discount.

  2. Enter a name for the discount.

  3. Choose the discount type (fixed dollar amount or percentage).

  4. Enter the discount value.

  5. Click the Add blue button.

You can reorder discounts by dragging and dropping them. If Build card fee into profit margin is enabled, a Cash Discount will appear automatically and will always remain last in the list.

💡Note: All quotes using this template will include the preset discounts automatically. If needed, they can be removed at the individual quote level.
