Accessing Signed Quote Actions
Click the hamburger menu (☰) → Company Settings (this opens a new browser tab).
Select Quote Templates from the left menu.
Click the pencil icon ✏️ on the template you want to edit.
📱 App users: Tap Edit on the "You are in view mode" banner, then tap the blue View all settings button to access the template settings.Select the Settings tab at the top of the template editor.
Scroll down to the Signed Quote Actions section.
💡 Each setting is collapsed by default. Click on any section to expand it and configure its options.
Partially Signed Quote Stage
If your quote requires more than one signer, this setting allows you to move the project to a temporary stage after the primary signer signs — before the quote is fully signed.
Select the stage you want the project to move to from the dropdown. The available options will reflect your currently configured stages.
💡 Note: This setting only applies to quotes with multiple signers. If left at Don't Move Stage, no stage change will occur after the primary signer signs. This stage does not indicate that the quote is fully signed — it only reflects that the first signature has been completed.
Signed Quote Stage
Select a stage to automatically move the quote's project to when the quote is fully signed. The dropdown options will reflect your currently configured stages.
For single-signer quotes — the stage change triggers as soon as the signer completes their signature.
For multi-signer quotes — the stage change triggers only after all required signers have signed. The primary signer signing alone does not trigger this action.
💡 If the secondary signer never signs, the quote will remain in "Sent" status and this stage change will not trigger.
Auto-Populate Budget
Check the Auto-Populate Budget Cost Line Items When Quote is Signed checkbox to have ProLine automatically populate budget cost line items when this quote is signed.
Once the quote is signed, the cost line items will appear automatically under the Cost Line Items section in the project's Budget tab. These can be updated at any time to reflect actual costs if anything changes along the way.
Auto-Send Deposit Invoice
Select a deposit invoice template to automatically send when this quote is signed. The selected invoice will only be sent if a deposit has been set on the quote. Use the dropdown to select the invoice template you want to use, or leave it set to Don't Send Invoice if this does not apply to your workflow.
⚠️ Note: Only invoice templates that use the Deposit(s) calculation mode can be auto-sent. The quote must also have a deposit defined at the project level. If no deposit is configured, the invoice will have no content to send and will not be delivered.

Messages
Customize the text message and email sent to the customer once the quote is fully signed. These messages serve as a confirmation and give the customer access to their signed quote document.
Signed Quote Text Message
Enter the text message content in the text field.
Use variables (e.g.
{{contact_fname}},{{quote_link}}) to personalize the message.The
{{quote_link}}variable is required — without it, the customer cannot access the signed quote.
Send Quote Email
Subject — the subject line of the outgoing email (e.g. "Your Signed Quote")
Body — the body of the email. Must include the
{{quote_link}}variable.Attach a PDF Copy of Quote to Email — check this box to include a PDF of the signed quote as an email attachment.
💡 Use dynamic variables like customer name and quote link to personalize your messages. Click Variables in the builder to see the full list.
⚠️ Important: Always include the {{quote_link}} variable in both your text message and email body. Without it, the customer will not be able to access their signed quote online.
ProLine automatically adds your configured email signature to outgoing emails. You do not need to manually add it to the template — it will not appear in previews but will be included when the message is sent.
For quotes with multiple signers, messages are sent only after all required signers have completed their signatures. Messages will not send when only the primary signer has signed.
