Company Settings: Quote Templates - Send Quote Actions

This article covers the Send Quote Actions section of Quote Template Settings. These settings control what happens after a quote is sent, including stage movement, expiration, signer messages, and attachments.

Accessing Send Quote Actions

  1. Click the hamburger menu (☰) → Company Settings (this opens a new browser tab).

  2. Select Quote Templates from the left menu.

  3. Click the pencil icon ✏️ on the template you want to edit.
    📱 App users: Tap Edit on the "You are in view mode" banner, then tap the blue View all settings button to access the template settings.

  4. Select the Settings tab at the top of the template editor.

  5. Scroll down to the Send Quote Actions section.

💡 Each setting is collapsed by default. Click on any section to expand it and configure its options.


Send Quote Stage

Select a stage to automatically move the quote's project to when the quote is sent. This keeps your pipeline organized and up-to-date without requiring you to manually move a project every time a quote goes out.

The dropdown options will reflect your currently configured stages. To learn more about managing stages, see: Company Settings: Stages.

💡 The default is set to Don't Move Stage. If you don't need automatic stage movement, you can leave this as-is.


Quote Expiration

Set the number of days a quote will remain signable after it is sent. The expiration date is calculated at the time the quote is sent and will reset if the quote is edited.

If no expiration is needed, leave the field at its default value of No Expiration.


Primary Signer Messages

Customize the text message and email sent to the primary signer — in most cases, your customer — when the quote is sent. These messages invite them to view and sign the quote.

Send Quote Text Message

  • Enter the text message content in the text field.

  • Use variables (e.g. {{contact_fname}}, {{quote_link}}) to personalize the message.

  • The {{quote_link}} variable is required — without it, the customer cannot access the quote.

Send Quote Email

  • Subject — the subject line of the outgoing email (e.g. "Your Quote From {{company_name}}")

  • Body — the body of the email. Must include the {{quote_link}} variable.

  • Attach a PDF Copy of Quote to Email — check this box to include a PDF of the quote as an email attachment.

💡 Use variables like customer name, job address, and quote total to personalize your messages. Click Variables in the builder to see the full list.

⚠️ Important: Always include the {{quote_link}} variable in both your text message and email body. Without it, the customer will not be able to access or sign the quote online.

ProLine automatically includes your configured email signature to outgoing quote emails. You do not need to manually add it to the template — it will not appear in previews but will be included when the quote is sent.

A note on PDF attachments: If you want to collect digital signatures, consider leaving the PDF attachment unchecked to encourage customers to complete the quote online. If you allow wet signatures, attaching the PDF can be helpful for customers who prefer to print and sign.


Secondary Signer Messages

If your quote requires multiple signers, configure the message sent to the additional signer here. This section works the same way as Primary Signer Messages but is only required if your process involves more than one signing party.

How multi-signer quotes work:

  • The quote is sent to the primary signer first.

  • Once the primary signer signs, ProLine automatically sends the quote to the secondary signer using this message template.

  • The quote will not reach "Signed" status until all required signatures are completed.

💡 Note: If the secondary signer never signs, the quote will remain in "Sent" status and any Signed Quote Actions will not trigger until all signatures are collected.


Attachments

Add default file attachments to be automatically included with any quote sent using this template — for example, a product catalogue or warranty information PDF. You can also add project-specific attachments at the individual quote level.

Click the Add Files button to open the file selector. A pop-up will appear with three tabs:

  • Project Files — displays files tied to the project. If editing a template outside of a project, you'll see a "Select Project" button to pull files from a specific project.

  • Company Files — shows files previously uploaded to ProLine's Company Files section.

  • Upload — lets you upload a file directly from your device.

Accepted file types: JPEG, JPG, PNG, WEBP, GIF, PDF, AVIF, TIFF — up to 10 files per template.

⚠️ Combined attachment size limit: 25 MB. Emails over this limit may not be delivered.
