Overview
The Jobs tab inside a project is where you create and manage each individual service being performed for that customer. Instead of tracking everything as one large project, ProLine lets you break the work into separate jobs (example: Roof Replacement, Siding Repair, Gutter Installation), each with its own stage, events, quote pages, and notes.
Purpose
The Jobs tab helps you:
Track progress for each service independently within the same project
Assign different team members to different parts of the work
Keep job-specific documents and quote pages organized
Link events (like installs or inspections) to the correct service
Manage multi-trade or phased projects without mixing workflows
How to Access
Open your ProLine account.
Click into the project you want to view.
Click Project Details.
On the top right of your screen, in the project navigation tabs, click Jobs.
From here, you can:
View all jobs tied to the project
Click New Job to add a job manually
Click into an existing job to view or update its details
What Is a Job?
A job is the individual service being performed within that project.
Example:
If a customer hires your company to complete a project that includes:
Roof replacement
Siding repair
Gutter installation
Insurance Supplements
Then:
The project tracks the full scope of work
And each service becomes a separate job
This setup allows you to track progress, events, documents (quote pages), and stages independently for each service within the same project.
Creating a New Job
To automatically create jobs for certain services:
Go to the hamburger menu at the top left of the page.
Choose Company Settings > Jobs & Services
Click + Add Service at the bottom or click on the project service that you want to automate into a job.
From the Automatically Create Jobs dropdown, choose Yes.
Changes will be saved automatically.
Now, when a quote is signed for these services, a job will automatically be created. You will need to choose a Job Stage for the job to fall into when created. More on that below.
Additionally, ProLine supports automatic stage transitions based on actions taken within the app. For example, sending a material order can automatically update the stage to "Materials Ordered."
To manually add a job within a project:
Go to the Jobs tab within the project.
Click the New Job button.
A pop-up window will appear.
From here:
Select the service this job relates to (ex: Roof Replacement)
Name the job (defaults to the service name, but you can customize it)
Click Create to add the job to the project.
What Happens After a Job Is Created?
Once a job is added, several key details are available to view:
Service
The selected service is displayed and connected to the job.
Stage
This will default to the first stage once a job is created
Clicking the stage will open a pop-up that lets you move the job to a new stage.
If no stage is found, you may see: “No job stage found. Please add a stage in the project service and company settings.” To fix this, navigate to Company Settings → Jobs & Services, and add custom stages for that service.
Job stages help you clearly track the progress of each service as it moves through production. For example, in a roof replacement, your job stages might look like this:
Crew Scheduled
Install Scheduled
Material Delivered
Install Complete
Final Inspection To learn more on how to configure job stages, check out this article: Company Settings: Jobs & Services
Changing Job Stages Manually
You can manually update a job stage using these methods:
From Within a Project:
Open the specific project.
Navigate to the Jobs tab.
Locate the job you want to change.
Click on it and then click on Stage.
Change the stage to your preference.
From the Jobs Board:
Access the main Jobs Board section from the dashboard.
Locate the job requiring a stage update.
Drag and drop the job to the appropriate stage column.
Troubleshooting Job Stage Issues
Why Can't I Assign a Stage to a Job?
This issue usually occurs when no job stages have been defined in the Company Settings menu. Follow the instructions for setting up job stages to resolve this issue.
Why Did My Project Stage Change Automatically?
ProLine automatically changes project stages for specific actions, such as sending a material order. If this is not desired, manually adjust the stage based on your needs.
Assignee
The job will automatically inherit the primary assignee from the overall project.
You can update this if the job is being handled by a different team member.
Quote Pages
You can link relevant quote pages to a job, making it easy to reference what was contracted and agreed upon.
Associated Events
Events like inspections or installations can be tied to the correct job
Example: a “Roof Install” event should be linked to the “Roof Replacement” job.
Job Description
Add custom notes or instructions specific to that job
Example: material colors, client preferences, access instructions.
Automatic Stage Transitions
Some actions within ProLine automatically update the stage of a job or project. For instance, sending a material order will transition the project stage to "Materials Ordered." If this update is not appropriate, you can manually override the stage. This feature reduces manual effort while keeping project stages aligned with project milestones.
Managing Multiple Jobs
There is no limit to the number of jobs you can create within a project. This flexibility is helpful when managing:
Complex or multi-service projects
Phased work, such as repairing the roof first and siding later
Revisits or additional scopes added mid-project
Summary
ProLine jobs represent the individual services within a project. You can create jobs manually or automate job creation when quotes are signed for specific services. Once a job is created, you can track its stage, assign users, connect quote pages, link events, and add job-specific instructions. This makes it easier to manage multi-service projects while keeping each part of the work organized and moving forward.
