Accessing the Organizations Tab
Click the hamburger menu (☰) in the top left corner of your ProLine account.
Scroll down and select "Company Settings"
A new window will appear in your browser
Click the "Organizations" tab.
How Organizations Work
Organizations act as groups of contacts tied to a single organization. Pipelines organize these organizations into types, while stages represent the status of your relationship with them.
For example, under a Local Business pipeline, your stages might include:
New – Potential relationships you’re reaching out to.
Current – Active partners you’re working with.
Inactive – Past relationships that no longer generate business.
You can create unlimited pipelines and unlimited stages within each pipeline, making it easy to adapt the setup to your workflow.
Default Pipelines
By default, ProLine provides three preset Org Types (presented in pipelines) :
Local Business
Real Estate Agent
Developer
Creating a New Pipeline
Scroll to the bottom of the Organizations tab.
In the Add New Org Type field, type a title (e.g., Subcontractors).
Press Enter to save.
Adding Stages to a Pipeline
Under the pipeline, click Add New Stage.
Enter the stage name (e.g., New).
Press Enter to save.
Repeat as needed as there’s no limit to the number of stages.
Editing Pipelines
Each pipeline has a set of icons to the right of its title:
Pencil Icon: Toggle edit mode on or off.
Overlay Button: Allows overlapping stages.
Paintbrush Icon: Change the pipeline color.
Trash Can: Delete the pipeline (confirmation required).
Editing Stages
Each stage also includes several management tools:
Drag & Drop (six dots): Reorder stages by dragging.
Pencil Icon: Toggle edit mode on or off.
Duplicate Button (+): Clone the stage.
Eyeball Icon: Archive Orgs that reach a particular stage. Archived stages will only show Org counts, not the jobs’ cards.
Trash Can: Delete the stage (confirmation required).
Best Practices
Use pipelines as categories or types (ex: Local Businesses, Real Estate Agents, Developers, Subcontractors).
Use stages to represent progress (ex: New → Current → Inactive).
Keep pipelines broad, but use stages to track detail for better visibility.
Tip: Review your organization pipelines regularly to ensure they reflect your current business relationships and opportunities. Properly structured pipelines make it easier to track, report, and manage your external connections.
