What are Organizations?
An organization in ProLine allows you to group together contacts under a shared company or business such as; real estate offices, insurance firms, or property management companies. This is helpful when you’re working with multiple people from the same business or want to track projects, files, and communications at the organizational level.
How to Add an Organization
To get started:
On the left-hand side of your ProLine dashboard, click the “+” (plus) button.
Hover over and click “Organization” from the dropdown menu.
This will open a side panel on the right side of your screen, where you’ll begin entering the organization’s details.
Step-by-Step: Creating a New Organization
1. Name
The system will default the name to “New Org.”
Click into the field and update it to the actual name (EX: Keller Williams of Texas).
2. Org Type
Select an org type from the dropdown (EX: Real Estate Agent Organization).
Org types are created in your Company Settings.
3. Stage
Choose the appropriate stage for this organization (e.g., New).
Stages are also configured in Company Settings.
Assigning Contacts to the Organization
Primary Contact
Start typing the name of the contact you want to assign.
If the contact already exists in ProLine, they’ll appear in the search. Click to select.
If the contact is new, click the “+” button to create and add a new contact on the spot.
Note: there is only one primary contact but that does not limit you to the amount of contacts you associate with the organization. These could be admins, coordinators, or reps who are all part of the same company.
Address
If the contact you're adding has an address saved in their profile, it will automatically pre-fill in the organization’s address field.
You can manually update or edit this address as needed.
Notes
Use the notes section to store relevant information about the organization
Key points of contact
Preferred communication methods
Special instructions
Saving and Viewing the Organization
After filling out all fields:
Click Save.
You’ll now see a new organization contact card, similar to a regular contact card but designed to represent a business or entity.
