Data Manager: Projects – Bulk Edit/Delete

The Bulk Edit and Bulk Delete tools within the Projects tab in the Data Manager give you the ability to mass update or remove projects from your ProLine account saving time and eliminating the need to edit records manually one by one. This is especially helpful for keeping your project data clean, accurate, and up-to-date.


Common Use Cases

  • BulkEdit: Reassigning projects, tagging marketing campaigns, or updating project stages in bulk.

  • BulkDelete: Cleaning out old leads that never converted or incomplete projects with no recorded activity.

Bulk Edit Projects

The Bulk Edit feature allows you to modify specific fields across multiple projects at once. To get started:

  1. Navigate to the hamburger menuData Manager.

  2. Click into the Projects tab.

  3. Apply any desired filters to narrow down your project list.

  4. Click the Bulk Edit icon.

Available Bulk Edit Options

Here’s what you can modify using BulkEdit:

1. Assignee

  • Reassign ownership of projects.

  • Example Use Case: An employee is leaving the company, you can reassign all their current projects to another teammate in one action.

2. Stage

  • Move multiple projects from one stage to another.

  • Example Use Case: After a marketing campaign wraps, you can move all resulting projects to “Awaiting Inspection.”

3. Add Tags

  • Bulk-apply tags to your filtered project list.

  • Example Use Case: You’ve updated your tag structure in Company Settings and want to apply new tags to all past leads.

4. Remove Tags

  • Remove outdated or irrelevant tags.

  • Important: The filtered list must already contain the tag you want to remove.

5. Main Contact Campaign

  • Assign a campaign to the main contact on selected projects.

  • Optionally, you can:

    • Stop all current campaigns associated with those contacts.

    • Schedule the new campaign start (up to 60 days in advance).

    • Choose a specific date and time for campaign activation.

Finalizing a Bulk Edit

Once you’ve selected your desired edits:

  • Click the Bulk Edit button.

  • The changes will be applied immediately unless you’ve scheduled them.

Bulk Delete Projects

The Bulk Delete tool allows for the permanent deletion of selected projects. This should only be used in rare, intentional scenarios.

Important Deletion Warnings

When you click the BulkDelete icon (marked in red):

  1. A warning popup will appear with key disclaimers:

    • Deletion is permanent and cannot be undone.

    • A record of the action will be saved in the Data Manager log.

  2. You’ll be given the option to:

    • Delete associated contacts with the projects.

      • Note: Contacts will only be deleted if they are not tied to other projects.

  3. Projects with associated quotes, orders, invoices, or payments will be skipped and not deleted.

    • These linked records must be deleted before removing the project.

Scheduled Deletes

  • You can schedule deletions for a future date and time—ideal for planned cleanup efforts.

Final Confirmation

To confirm the deletion:

  • You must type "DELETE" in all caps.

  • Then click the Bulk Delete button.

Pro Tips

  • Always double-check your filters before using either tool.

  • Use scheduled deletions if you want a buffer period to ensure accuracy.

  • Never use BulkDelete on active or valuable project records unless you’re absolutely sure.
