Overview
Broadcasts let you send a one-time bulk Email or bulk SMS to a selected segment of contacts in your ProLine account. This is helpful when you need to share an update quickly without building a full campaign.
Broadcasts lets you send an email or text message (SMS) to a segment of contacts in your ProLine account.
Unlike campaigns (which send messages over time), Broadcasts is built for single-send announcements like updates, reminders, or time-sensitive notices.
Purpose
Broadcasts are designed for one-time announcements or mass communication, such as:
Marketing
Sharing a service update (ex: holiday closures)
Company announcements
Broadcasts are not designed for step-based automation like campaigns. Each broadcast is created and sent individually.
How to Access
Click the hamburger menu (☰) in the top left corner of ProLine.
Click Broadcasts.
Inside Broadcasts, you will see two sections on the left side of the screen:

Before You Start
Email domain authentication (required for Email Broadcasts)
Email Broadcasts require a verified sending domain. Domain verification is completed in Company Settings, not inside the Broadcast builder.
To verify a domain:
Go to Company Settings.
Click Email.
Click Domain Authentication.
Add the domain you want to send from.
Copy the DNS records ProLine provides.
Add those DNS records in your DNS host (where your domain is managed).
Return to ProLine and complete the authentication process.
Without domain authentication, Email Broadcasts cannot be sent.
Note: Domain authentication usually requires help from the person who manages your domain DNS settings.
Email senders (required for Email Broadcasts)
Email Broadcasts must be sent from a configured Sender.
Senders are managed in Company Settings and must be created before you can send an Email Broadcast.
A Sender defines:
The From name and email address shown to contacts
The Reply-to email address, where replies will be delivered (this can be different from the sender email)
To create a sender:
Go to Company Settings.
Click Email.
Click Manage Senders.
Create a new sender using a verified domain.
Save the sender.
Once saved, the sender becomes available in the Email Broadcast From section.
Important: The only way to send an Email Broadcast is by selecting a sender from Manage Senders. You cannot send an Email Broadcast from any other email address.
How domain authentication affects sender verification
Whether a sender appears as Verified or Unverified depends on how your domain was authenticated:
If you authenticated the root domain (e.g.,
powerroofing.com), any sender created under that domain (e.g.,[email protected]) will be automatically verified — no manual email confirmation needed.If you authenticated a subdomain (e.g.,
www.powerroofing.com) instead of the root domain, senders under@powerroofing.comwill show as Unverified and require manual verification through an email confirmation link.
⚠️ Important: Always authenticate the root domain, not a subdomain (like www.), to ensure senders are auto-verified.
If your senders are showing as Unverified and you authenticated a subdomain:
Remove the existing sender entries from Manage Senders.
Re-run domain authentication using the root domain.
Recreate your senders — they should auto-verify once the root domain is properly authenticated.
1) Create a Segment (Required)
Segments define who will receive your broadcast.
From Broadcasts, on the left side of the screen, click Segments.
On the right side of the screen, click Create Segment (blue button).
In the pop-up:
Segment Name (required)
Segment Description (optional)
In the bottom-left of the pop-up, set your filters.
Segment filters include:
Tags
Campaigns
Automation Status
Started Campaign Before
Started Campaign After
Past Campaign
Contact Type
Lead Source
Last Project Location
Last Project Status
Zip Codes
In the bottom-right of the pop-up, ProLine will show the contacts included based on your filters, so you can confirm the segment is correct.
Once you’re ready, at the bottom:
Click Save (blue button) to create the segment
Or click Back if you do not want to complete it
Use Cases
Use a Tag filter to target a specific list (example: “Past Customers”).
Use Campaigns or Automation Status to message contacts currently inside a specific workflow.
2) Create a Broadcast
After your segment is saved, you will create the broadcast itself.
On the left side of the screen, click Broadcasts.
On the right side of the screen, click Create Broadcast (blue button).
A) Setup (Internal Only)
In Setup, you will enter information that is internal only (customers will not see this).
You must complete:
Broadcast Type (required): Email or Text Message (SMS)
Internal Broadcast Name (required): Used for your team’s reference only
Internal Broadcast Description (optional): Optional internal notes
At the bottom:
Click Save
Or click Cancel
After clicking Save, additional sections will appear as dropdowns/toggles.
B) To (Who receives this broadcast)
Open the “To” section.
Select the Segment you want to send to.
After clicking the Segment, on the right side of the screen you can:
Click View (white button) to preview the contacts/projects included.
Click Select (blue button) to confirm the Segment.
Once selected:
The dropdown shows a blue check mark to confirm that section is completed.
You can also View the segment again or Unselect it from the right side.
C) From
The From section controls who the email or text is sent from.
Open the From dropdown.
Select a sender from the list.
For emails:
Only verified senders will appear here.
Verified senders come from Company Settings > Emails after domain/email verification.
For texts:
The list of your team member contacts and their phone numbers will appear.
You can select multiple.
Click Select (blue button).
If you do not see the sender you need:
Email: Click + Add Senders to jump to Company Settings and add one.
Texts: Check Hamburger Menu > Manage Team to make sure they’re part of your ProLine Account members.
D) Subject (Email Broadcasts Only)
Open the Subject section.
Enter:
Subject Line (required)
Preview Text (optional): this appears in the inbox after the subject line, before the email is opened
You can use variables and snippets here.
Click Save.
E) Send Time
Open the Send Time section.
Choose one:
Schedule for Later
Choose a date
Choose a time
Times are limited to 30-minute intervals
Send Now (sends immediately)
Click Save.
F) Content
Open the Content section.
Build the email using the Content Builder (Email Broadcasts Only)
This builder works like a simple page builder so you can create a well-designed email layout. You can add blocks like:
Columns
Buttons
Dividers
Headings
Text
Images
Video
Social
Menu
HTML
You can also:
Use variables
Use snippets
Adjust styling such as text color, link styling, content width, alignment, and font settings
When finished, in the top-right corner you can choose:
Delete (red button)
ProLine will confirm: “Are you sure you want to delete this broadcast? This action cannot be undone.”
Finish Later (white button)
Saves the broadcast as a Draft
If saved as a draft, it can be re-opened and edited by clicking on “Manage” in the Broadcasts section.
Send (blue button)
Sends the broadcast immediately or at the scheduled time
What changes for SMS Broadcasts
If your Broadcast Type is SMS:
The flow still includes setup, To, From, and Send Time.
The message content is a standard text message (no Content Builder).
From is selected from ProLine users (you choose which user’s messaging sends the SMS).
You can still use variables and snippets.
Guidelines & Best Practices
Always create and verify your segment first so you know exactly who will receive the broadcast.
Use the View button in “To” selection to confirm the segment contacts before sending.
For Email Broadcasts, confirm your verified sender is available in the “From” dropdown before building content.
Keep SMS short and clear. If it needs detail, use an email broadcast instead.
If you are not ready to send, use Finish Later so it stays in Draft.
Summary
Broadcasts lets you send a one-time Email or SMS message to a defined Segment of contacts. You build your audience using Segments, then configure the broadcast details (audience, sender, subject, send time, and content) before sending or saving as a draft.
