Overview
The AI Agent Call step allows you to automatically trigger an outbound call from a configured AI Agent to a project contact as part of a workflow. When this step occurs, the selected AI Agent will call the contact and attempt to schedule an appointment. The workflow will proceed regardless of whether the call was answered or not, and the outcome will depend on your AI Agent's configuration.
Before using this step, make sure you have fully set up your AI Agent, including its scheduling settings. See the following guides:
How to Access the Workflow Builder
Click the hamburger menu (☰) in the top-left corner of your ProLine account.
Click Workflows.
Click the Workflows tab.
From here you can either click the pencil icon on an existing workflow to open it, or click Create Workflow to create a new one. Both will open the Workflow Builder.
Adding an AI Agent Call Step
In the Workflow Builder, hover over any of the downward arrows between steps and click Add Step when it appears. If you are setting up a new workflow, click the Add Your First Step button in the center of the builder.
An Add Step panel will open with a search bar and a list of step types organized by category: Communication, Tasks & Projects, Workflow Control, and Integrations. Select AI Agent Call under the Communication section.
This will open the Edit Step panel on the right side of the screen.
Configuring the Step
Step Status
Use the toggle at the top to set the step as Active or Inactive. Inactive steps are skipped automatically when the workflow runs but remain in the workflow for future use.
When Does This Run?
Controls when the step executes after the workflow reaches it. The available options are: Starts Immediately, Starts at Optimal Time, Starts at Specific Time, Starts X Hours Before, and Restrict To. For a full explanation of each option, see Workflows: Workflow Steps Overview.
Conditional Logic
Check Only run this step if certain conditions are met to make this step run only when specific criteria are matched. If the conditions are not met, ProLine skips the step and moves to the next one automatically. For more details on how conditional logic works, see Workflows: Workflow Steps Overview.
AI Agent Configuration
When this step occurs, the selected AI Agent will call the workflow's contact.
Important: Please remember to adhere to all rules and regulations around the frequency of automated calling agents. We recommend no more than 3 calls per contact, per week.
This step will start the outbound call and then let the workflow proceed regardless of whether the call was answered. It does not wait for the call to complete to proceed.
Select Contact (Required)
Choose which contact the AI Agent will call. The available options are:
Project's Main Contact
Project Contact 1
Project Contact 2
AI Agent (Required)
Select the AI Agent you want to make the call. All AI Agents configured in your account will appear in this dropdown. Each agent has a default opening line configured in their settings, which is typically used for inbound calls. For this step, you can customize the opening line specifically for this outbound call to better fit the context of the workflow. The default opening line is: "I'm calling because you filled in a form on our website, can I book an inspection for you?"
What Happens After the Call
The outcome of this step depends on your AI Agent's configuration and what occurs during the call:
Call answered and appointment booked — The workflow behavior will depend on whether your account has an event trigger configured for the inspection that was booked.
Call answered and task created — The project will move to the task stage defined in your AI Agent's scheduling settings. Whether another workflow triggers will depend on whether that stage has a workflow associated with it.
Call not answered — The workflow will continue to the next step as normal.
Lead disqualified — The project will move to the disqualified stage configured in your AI Agent's scheduling settings, which may trigger another workflow depending on that stage's configuration.
For more details on how these outcomes are configured, see Manage Team: AI Agents – Scheduling Settings.
Saving
Once you have configured your step, click Save.
