Company Settings: Projects - Others

This guide explains the additional project settings found in the Others tab, including default naming, icon colors, and project custom fields.

Overview

The Others tab in Company Settings contains extra project-level settings that control how new projects are named, how project icons look across your account, and what custom fields your team can track on each project.

Purpose

Use the Others tab to:

  • Set a consistent naming format for new projects

  • Control the default project icon color for easier visual organization

  • Add custom fields so your team can track project-specific details that matter to your business

How to Access

  1. Click the hamburger menu (☰) in the top-left corner of your ProLine account.

  2. Select Company Settings.

  3. In the left sidebar, click Projects.

  4. Select the Others tab.

Setup & Usage

Default Project Name

This setting controls what ProLine uses as the default name when a new manual project is created. By default, ProLine names the project using the main contact’s first and last name, but you can enable Use address as default project name when possible if you prefer projects to default to the project address instead. You can always rename a project manually at any time.

Project Icon Color Setting

Project icon colors appear as small colored squares on project cards and boards. They help your team quickly scan and identify projects.

You can choose how ProLine sets the icon color:

  • Default Color: Random color assigned when the project is created

  • Service Color: Uses the color from the first service added to the project

  • Assignee Color: Uses the color assigned to the project’s assignee

Project Custom Fields

Project custom fields let you add additional fields that appear on the Project Details screen. This is useful if your team needs to track information ProLine does not include by default.

There are three main types of project custom fields:

Other Contacts

These fields allow you to define additional contact roles on a project beyond the main contact (ex: spouse, adjuster, property manager).

By default, ProLine includes:

  • Main Contact (non-editable)

  • Other Contact 1 (editable)

  • Other Contact 2 (editable)

You can rename Other Contact 1 and Other Contact 2 to match your workflow.

Custom Text Fields

These are labeled text fields used for project-specific information such as:

  • Carrier

  • Policy Number

  • Claim Number

  • Deductible

  • Roof Color

Only the custom text fields you configure in Company Settings will appear on projects.

Dynamic Fields

Dynamic Fields are a more flexible way to collect and track project and job information. Unlike basic custom text fields, dynamic fields can be created as:

  • Dropdowns

  • Dates

  • Numbers

  • Multi-line text

  • Checkboxes

Dynamic fields can be added at two levels:

  • Project level (data that applies to the full project)

  • Job level (data that applies only to a specific service/job)

Dynamic fields require:

  • A display name

  • A field type

  • A unique identifier (permanent and cannot be edited)

Guidelines & Best Practices

  • Choose a naming format your team will consistently reference (contact name vs address).

  • If using assignee-based colors, make sure team members have assigned colors in Manage Team.

  • Use custom fields only for information that your team will actually fill in and use regularly.

  • Use Dynamic Fields when you need structured options (dropdowns, dates, checkboxes) instead of basic text.
