This report can be your go-to resource for maintaining profitability throughout your organization.

What Is the Profitability Report?

The Profitability Report offers a financial snapshot of project performance by comparing planned versus actual costs and profits, as well as gross margin. Designed for business owners, CFOs, and operations managers, it helps monitor financial health and ensure the company remains on a profitable path.

Note: The accuracy of the Profitability Report depends on how your project statuses are configured in the Stages under Company Settings. It's important that statuses are set up and ordered correctly.

This report also pulls data from the Budget section within each project. Your data here must be accurate and up-to-date.

Key Metrics

  1. Revenue: Displays the Net Revenue collected on the project. This includes revenue minus refunds, chargebacks, and merchant fees.

  2. Costs: Shows your actual costs. You can also see a **Cost Variance** (Percentage next to cost), which shows both:

    • Planned Costs – recorded during the quoting process (based on planned materials, labor, etc.)

    • Actual Costs – expenses recorded in the Budget section of the project, including costs added after the quote was approved or signed.

  3. Profit: Your Actual Profit

    You can also see a Profit Variance Profit Variance (Percentage next to profit), which displays:

    • Planned Profit– calculated as Revenue minus Planned Costs, initial commissions, and taxes.

      Keep in mind: your commission value might be affected if you add cost line items after the quote is signed or if you transfer the commission to another user.

    • Actual Profit – This is your Gross profit calculated as Revenue minus Actual Costs, commissions, and taxes

  4. Margin: The percentage of revenue that remains after subtracting all costs, commissions, and taxes

What These Metrics Reveal

The comparison of these key metrics enables businesses to understand:

  • How their quotes align with real-world expenses.

  • Which projects are generating profit.

  • Which ones may be going over budget.

This report provides rich insights that are vital for financial tracking.

Filtering Options

At the top of the Profitability Report page, users can find several filters:

  • Locations: Searching all projects that are associated with a location within ProLine

  • Categories: e.g. Commercial, Residential, Property Management.

  • Types: e.g. Retail, Insurance

  • Services: e.g.Roofing, Siding, Gutters, Windows

  • Tags: Include or exclude projects based on custom labels.

  • Lead Sources: Choosing to view which sources you want to see

  • Team Members: View projects only assigned to specific team members.

  • Zip Codes: Narrow the view to particular postal areas.

  • Areas: Include or exclude specific areas that are assigned to projects.

  • Start & End Dates: customize the date range that is auto set to one-month.

These filters help ensure the data displayed is relevant to your needs at time of search.

View by Project Status

You can filter projects in the report based on three key statuses:

  1. Won – Projects that have been awarded but not yet completed.

  2. Complete – Projects that have completed production but are awaiting accounts receivable payment.

  3. Closed – Fully completed and paid projects.

These filters help categorize projects at different life-cycle stages, so you can analyze profitability based on where a project stands.

Why Use the Profitability Report Instead of Project Budgets?

While budgets provide detailed insight at the project level, the Profitability Report allows managers/owners to see all current projects in their company within a single page. This report will give you the macro view that you need to make decisions, while the budgets tab will help you dive into specific projects.
