Guide: Dashboard Reporting

This guide walks through the reports on the Dashboard and the configuration requirements to ensure accuracy.

What is the Dashboard?

The Dashboard serves as the central hub for reporting. It presents high-level metrics such as revenue, sales, leads, quotes, and business activity.

Accessing the Dashboard

By default, when you log into ProLine, you will land on Boards.

To access the Dashboard:

  • Click the side panel

  • Under the hamburger menu (☰), click the Dashboard icon

Once opened, the Dashboard displays multiple report tabs across the top, including:

  • Overview

  • Usage

  • Leaderboard

  • Marketing

  • Sales

  • Production

  • Cash Flow

  • Billing

  • Profitability

  • Activity

  • Map

Overview Reports

Purpose: Provide a quick snapshot of your overall business performance.

Key Features:

  • Revenue, Sales, Quotes Sent, and Leads per day for the selected period

  • General Activity Feed showing activity across all projects and users.

Usage Reports

Purpose: Provide a high level overview of how your company is using ProLine to reveal areas of additional value*.***

Key Features:

  • Shows Overall Score for your business

  • Shows 15 different segments for how we came up with this score

    • App Opens

    • Active Stage Triggers

    • Orders Sent

    • Outgoing Texts

    • Carrier Registration

    • Automations Ran

    • Invoices Sent

    • Merchant Account

    • New Leads

    • Outgoing Calls

    • Active Campaigns

    • Quotes Sent

    • Answered Calls

    • Merchant Payments

Marketing Reports

Purpose: Tailored for marketers or marketing-focused team members to understand lead generation effectiveness and ROI.

Key Features:

  • Tracks new leads and referrals

  • Analyzes revenue and conversions by source

  • Measures revenue per new lead

  • Inspection outcomes

  • Marketing strengths

Sales Reports

Purpose: Focused on sales performance to help evaluate overall sales outcomes.

Key Features:

  • Displays won projects and referrals.

  • Compares contracted vs. collected revenue

  • Tracks planned vs. actual profit

  • Breaks down new open projects and total open projects

Leaderboard

Purpose: Motivate the sales team with performance tracking.

Key Features:

  • Shows individual sales metrics

  • Two views: Commission and Performance

  • Admins have full visibility

  • Team members can only see rankings and personal data

Production Reports

Purpose: Track job completion timelines and production volume.

Key Features:

  • Measures average days to completion

  • Tracks completed and in-progress jobs

  • Completed job count

Cash Flow Reports

Purpose: Monitor financial inflow and quote status.

Key Features:

  • Tracks payments, receipts, and accounts receivable (AR)

  • Breaks down quotes sent, approved, and closed referrals

  • Displays total closed projects

  • Shows the business's financial status.

Billing Report

Purpose: View and track invoices sent from your ProLine account.

Accessing the Billing Report

To access the Billing Report:

  • Open the Dashboard

  • Click the Billing tab

Key Features:

  • Displays all invoices sent from your account

  • Two invoice views:

    • Open: Invoices that have been sent but not yet paid

    • Past Due: Invoices that are past the due date with no payment completed

  • Each invoice displays:

    • Project name

    • Invoice name

    • Invoice number

    • Sent date

    • Due date

    • Remaining balance

  • Clicking an invoice opens the associated Project Details

Profitability Report

Purpose: Assess project-level financial performance.

Key Features:

  • Shows Planned vs. Actual Profit and Profit Margin

  • Displays Net Revenue

  • Visualizes Planned vs. Actual Costs

  • Includes additional filters by project status (Won, Completed, Closed)

Activity Report

Purpose: View team engagement and communication activity.

Key Features:

  • Lists all activity within ProLine account

  • Shows call and text volumes per team member

Map Report

Purpose: Visualize project geographic distribution.

Key Features:

  • Identifies project clusters

  • Filters by pin visibility (Leads, In Production, and Completed)

Setting Up Accurate Reporting: Statuses and Stages

All reports are driven by the statuses applied to project stages. Setting these up correctly ensures the accuracy of your reports.

Accessing Stages:

  1. Click on the hamburger menu (☰).

  2. Navigate to Company Settings.

  3. Choose the Stages tab

  4. Once in the Stages tab, you can change the status of any project stage by clicking the status next to the stage name. If you’re creating a new stage, the status will display as None. Click None to open a dialog and choose the status you need from the list.

Statuses Configuration:

Once you’ve accessed your stages, follow these guidelines to ensure your status setup keeps your reports accurate and your workflow clear.

Recommended Status Order:

Lead → Inspection → Open → Won (or Lost/Disqualified) → Completed → Closed

Guidelines for Statuses:

  • Assign a status to every stage; avoid leaving any as None.

  • A project typically moves to Won, but if it’s not won, it should move to either Lost or Disqualified depending on the outcome.

  • Maintain the top-to-bottom logical flow

  • Avoid illogical status assignments (e.g., Complete before Won)

  • Multiple stages can share the same status (e.g., multiple Inspection stages)

  • The Disqualified status is optional but useful for sales/marketing analysis

  • Production Stages: Use Won until the job is completed, then switch to Completed

  • Final Stage: Use Closed once fully paid and closed

Special Cases:

  • Lead Rehash: Allows moving prospects back to Lead status for follow-up

  • Insurance Pipeline: Typically uses Open status throughout

  • Retail Jobs/Insurance Approval: Move to Won only when both homeowner and insurance approval are secured

Troubleshooting and Fixing Reporting Issues

If you encounter red alerts or notice incorrect metrics:

  • Fix statuses from top to bottom

  • Proline will retroactively adjust status dates based on activity

  • Avoid repeatedly changing statuses on the same stage

  • Each status change triggers backend recalculations
