Managing a Project: Events

This guide will review how to add events to a project and how to manage the events that have already been scheduled.

Navigating the Events Tab

When you click into the Events tab of a project, you’ll see:

  • Past Events

  • Upcoming Events

  • A gray “New Event” button at the bottom – This lets you create a new event from scratch.

All events for a project will live in this tab in chronological order. They will all be colored based on the settings of the event types that you created within your company settings. To set this up, follow this article here.

Creating a New Event

Clicking the “New Event” button will trigger a pop-up window in the middle of your screen. This is where you'll enter all the details for the new event.

Event Details

You’ll have the ability to configure the following:

  • Event Type - When creating a new event, the event type will be prefilled with the default event type you have set within your settings.

  • Calendar This is the calendar the event will be visible on. This will also be filled based on the calendar the default event type is set to.

  • Event Name - This will be based on the default selection chosen from your company settings, but can be changed per event by clicking into this name box to rename.

  • Project - Auto-filled with the project you are adding the event from.

  • Job If the project contains multiple jobs (ex: roofing and siding), you must indicate whether this event pertains to the entire project or to a specific job.

  • Assignee(s) - The primary assignee for the project will be automatically added to the event but you can add other users as needed.

  • Add Guests - The primary contact’s email will also be automatically included so they receive event notifications.

  • Choose the date - Pick an available day from the calendar.

  • Set the duration - A default duration (ex: 60 minutes) will appear based on the event type.

    • You can adjust this (ex: to 90 minutes) as needed.

    • Be sure to set the duration before choosing a time to avoid conflicts with other events on the calendar.

  • Internal Notes. These are not shared with the primary contact. Use this section for things like:

    • Gate codes

    • Parking instructions

    • Special on-site requirements

Once all fields are complete:

  • Click the blue “Schedule” button.

  • Your event will now appear in the Events tab, organized chronologically.

Updating/Deleting an Event

Should you need to update an event that has already been created, all you have to do is click the event to edit and the event pop up will appear.

To update: Click the blue “Edit” button and all the options listed above will be available.

To delete: Click the “Delete” button and a confirmation pop up will appear for you to confirm the deletion of the event.
