Overview
The Files tab within a project serves as your central storage hub for all documents, images, and files associated with that specific project. You can access it by opening any project and selecting the third tab at the top labeled Files.
This area helps your team keep all project-related content organized, secure, and easily accessible.
Default Folders
Depending on your Company Settings, default folders may automatically appear in each new project. These folders are part of your company’s default folder structure and help maintain consistency across projects.
Note: These folders will appear blank initially — they are templates for organization, not pre-filled with content.

Folder and File Management
You can create as many folders as needed, and each folder can contain unlimited files or subfolders. For example:
Folder: Photos
Subfolders: Before Photos, After Photos
You can also color-code folders for easier navigation.
File Options
Clicking on any file will open a file options menu, giving you the ability to manage, organize, and edit files.
Here are the available actions:
Open – View the file in a larger window.
Move – Relocate the file to another folder within the project.
Download – Save a copy of the file or image to your device.
Rename – Change the file’s name for easier identification.
Expiry – Add an expiration date (useful for time-sensitive documents like permits).
Share – Control file visibility by marking it as public or private.
Delete – Permanently remove the file (confirmation required).
Editing Images
If the uploaded file is an image, you’ll also see an Edit option.
Selecting this will open the Image Annotator tool, which allows you to mark up, highlight, or add notes to images.
Note: The edit option is only available for image files (JPG, PNG). PDF files and other file types cannot be edited or annotated within ProLine.

Adding New Content
At the bottom of the Files tab, you’ll find the Add Content button.
From here, you can:
Add New Folder – Create a new folder to organize your files.
Upload Files – Upload new documents or images.
You can either drag and drop files directly into the window or use the Select File button to browse and upload from your device.
Supported File Types
Project Files accepts all file types. You can upload any file format including PDFs, images (JPG, PNG), Word documents, Excel files, videos, and any other file type you need to store with your project.
File editing capabilities:
Images (JPG & PNG): Can be annotated directly in ProLine using the Image Annotator tool by clicking the "Edit" option.
PDFs and other file types: Cannot be edited within ProLine. If edits are needed, you will need to edit the file externally then re-upload.
Best Practices
Use default folders to maintain consistency across all projects.
Color-code folders to make navigation faster and more intuitive.
Set expiration dates on time-sensitive documents like permits or insurance certificates.
Use descriptive file names so team members can quickly identify what they need.
Organize with subfolders when projects have many files to keep everything structured.
