Overview
The Bulk Reschedule feature allows you to reschedule multiple events across one or more days simultaneously. When weather events like storms, natural disasters, or other situations require moving entire days of scheduled work, Bulk Reschedule provides two intelligent rescheduling methods to find available time slots and move your events efficiently.
This is particularly useful for production teams who need to reschedule multiple all-day events or shift entire workdays due to external circumstances.
Purpose
Bulk Reschedule helps you:
Reschedule multiple events across one or more days at once
Choose between two rescheduling methods: Wave Reschedule or Next Available Slot
Automatically find the next available time slots for rescheduled events
Maintain the original order of events when rescheduling (Wave rescheduling)
Push conflicting events forward automatically (Wave rescheduling)
Find independent time slots for each event without affecting other events (Next Available Slot)
Preview the new schedule before confirming changes
Send automated notifications to customers and team members about changes
How to Access
Click Events on the middle-left side of your ProLine dashboard.
In the same tab, your calendar view will open.
Click the Bulk Reschedule button on the top right beside your timezone.
Please note: Bulk Reschedule is only available in the Calendar’s “Monthly” view.
Understanding Rescheduling in ProLine
ProLine offers two ways to reschedule events:
Normal Rescheduling (Individual Events)
To reschedule a single event:
Click on an event in the calendar.
The event opens in a popup.
Edit the date and time as needed.
Save your changes.
Bulk Reschedule (Wave Reschedule)
Bulk Reschedule allows you to reschedule multiple events across entire days at once. You now have two rescheduling methods to choose from:
Wave Reschedule:
Pushes events forward while maintaining their order
Automatically pushes conflicting future events forward, creating a "wave" effect
Best for maintaining event sequence and order
Next Available Slot:
Finds the next available time slot for each selected event independently
Does not push other future events forward
Places each event in the first open slot that fits, starting from your selected date
Best for filling gaps in your calendar without affecting existing future events
Understanding Calendar Filters
Before using Bulk Reschedule, it's helpful to understand how calendars work in ProLine.
If you're an admin, you can see multiple calendars:
Your own calendar
Your team members' calendars
Different calendar types (Sales, Production, etc.)
How to filter calendars
On the left side of the Events tab, you can filter by:
Calendar type (Sales, Production, custom calendars)
Team member
Location
Event type (Inspection, Repair, etc.)
How conflicts are detected
Bulk Reschedule identifies conflicts based on:
Calendar (events on different calendars can overlap without conflict)
Assignee (the team member assigned to the event)
Event type
This means two events can have the same start time without creating a conflict as long as they are on different calendars (e.g. Production and Sales calendar), for the same assignee.
Example: If an assignee has 2 events (one on the Production calendar and another on the Inspection calendar) at the same time, it won’t create a conflict
How Bulk Reschedule Works
Common use case
A storm is forecasted for March 9th and March 10th. You have production events scheduled as all-day events on both days. You need to reschedule these events and any other work scheduled during the storm to the next available days.
Choosing Your Rescheduling Method
When you use Bulk Reschedule, you can choose between two methods:
Wave Reschedule:
Maintains the original order of your events
Pushes events forward as a group
If rescheduled events conflict with existing future events, those existing events are automatically pushed forward as well
Creates a "wave" effect through your calendar
Example (Wave Reschedule):
Storm on Monday and Tuesday. You have:
Monday: 2 inspections
Tuesday: 1 production job (all-day event)
Wednesday: Already has a production job (all-day event)
Reschedule Monday-Tuesday to start Wednesday using Wave Reschedule:
Monday's 2 inspections move to Wednesday
Tuesday's job moves to Thursday
Wednesday's existing job gets pushed to Friday (wave effect)
Next Available Slot:
Finds the next available time slot for each selected event independently
Does not push other future events forward
Places each event in the first open slot that fits, starting from your selected date
Does not maintain strict sequential order if gaps exist in the calendar
Example (Next Available Slot):
Storm on Monday and Tuesday. You have:
Monday: 2 inspections
Tuesday: 1 production job (all-day event)
Wednesday: Already has a production job (all-day event)
Thursday: Open
Friday: Open
Reschedule Monday-Tuesday to start Wednesday using Next Available Slot:
Monday's 2 inspections move to Wednesday (fills available slots)
Tuesday's production job moves to Thursday (next available day without conflicts)
Wednesday's existing job stays on Wednesday (not affected)
Key Difference:
Wave Reschedule: Pushes everything forward to maintain order, even if it means moving existing events
Next Available Slot: Finds open slots without moving existing future events
Using Bulk Reschedule
Step 1: Select days to reschedule
Click Bulk Reschedule on the top right of the calendar.
Select the days you want to reschedule in the calendar view
Click on “Reschedule X days” on the top right. A popup will open where you can configure.
You can select multiple days if needed (example: a storm lasting several days).
Please note: 5 days is the maximum amount permitted to Bulk Reschedule.
Step 2: Configure reschedule settings
After selecting the days, configure the following settings:
Reschedule starting from date
Select the date from which you want to reschedule these events. This is the first available day after the disruption.
Example: If the storm is on March 9-10, you might select March 11 as the starting date.
Choose rescheduling method
Select your preferred rescheduling method:
Wave Reschedule: Maintains event order and pushes conflicting events forward
Next Available Slot: Finds independent time slots without affecting future events
Allow reschedule on weekends (optional)
Toggle this option if you want events to be rescheduled on Saturdays and Sundays.
If enabled: Events can be pushed to weekends if those are the next available slots
If disabled: Events will only be rescheduled on weekdays
Send SMS notifications to customers (optional)
Enable this option to automatically send text message notifications to customers about their rescheduled events.
Message content is customizable
Variables are available (example: customer first name, etc.)
Each event will send its own notification with the correct customer information
Send internal email notifications (optional)
Enable this option to send email notifications to team members about rescheduled events.
Please note: Each ProLine user needs to have Event Rescheduled notifications enabled on their Account Settings, otherwise, they won’t receive the email.
Allow events to be reassigned (optional)
If enabled, events can be reassigned to different team members during the rescheduling process if it creates better availability.
This helps the system find the best available slots across all team members rather than keeping events with their original assignee.
This option only appears if you have selected more than 1 team member in the left assignee calendar filter.
Step 3: Preview the new schedule
After configuring settings, click Preview New Schedule.
ProLine will:
Calculate the next available time slots
Determine which events need to be pushed forward
Show you a preview of the new schedule
This takes a few seconds to process.
Step 4: Review and edit the preview
The preview shows:
All rescheduled events with their new dates and times
Events highlighted in blue (indicating they were affected by the reschedule session)
At this stage, you can:
Review the new schedule
Edit individual events if needed by clicking Edit on any event
Change dates and times manually before confirming
Important: No changes are finalized, and no notifications are sent until you click Confirm.
Step 5: Confirm and send notifications
Once you're satisfied with the new schedule:
Click Confirm on the top right of the preview.
Events are officially rescheduled.
Notifications are sent to customers and team members (if you enabled those options).
Understanding Conflicts and Overlaps
When conflicts are detected
Bulk Reschedule identifies conflicts based on:
Same calendar
Same assignee
Same event type
Overlapping time
When events can overlap without conflict
Two events can have the same start time if they are on different calendars or assigned to different team members. This is intentional and not considered a conflict.
Example: An inspection event on the Sales calendar at 9:00 AM and a production event on the Production calendar at 9:00 AM can coexist without conflict.
Events that are not rescheduled
When using Wave Reschedule: Events that do not create conflicts with the rescheduled events will remain in their original time slots. Only events that are directly affected (originally selected days) or create conflicts (blocking rescheduled events) are moved.
When using Next Available Slot: Only the events on the selected days are rescheduled. Existing future events remain in their original time slots and are not pushed forward, even if rescheduled events are placed around them.
Important Behavior for Multi-Day Events
When rescheduling multi-day events (events that span multiple consecutive days):
The system treats multi-day events as a single unit that must stay together. If you have a 5-day production event:
The system will look for 5 consecutive available days to place the entire event
It will not split the event across non-consecutive days
If using Next Available Slot and there aren't enough consecutive days available in the near term, the event may be scheduled further out than expected
Example:
You have a 5-day production event (Monday-Friday) that needs to be rescheduled
You select "start from next Monday" using Next Available Slot
Next Monday has 1 all-day event blocking it
Tuesday-Friday of that week are open
Result: The 5-day event cannot fit in that week (only 4 consecutive days available), so the system schedules it for the following week when 5 consecutive days are available
This ensures multi-day events maintain their continuity and are not fragmented across your calendar.

Bulk Reschedule is most commonly used for:
Weather events (storms, heavy rain, extreme temperatures)
Natural disasters requiring work stoppages
Team-wide schedule changes (holidays, company events)
Production delays affecting multiple days
